⚡ Making a Phone Call When You Need Something

Need to call a business, office, landlord, school, doctor’s office, or someone else to ask for something?

You do not need a perfect script.

Know why you are calling, have the important information ready, and make sure you know what happens next before you hang up.


1. Know Why You’re Calling

Before you dial, finish this sentence:

“I’m calling because I need to…”

For example:

  • Make an appointment
  • Ask a question
  • Report a problem
  • Check on an order
  • Request a repair
  • Change or cancel something
  • Ask about a bill

If you know your goal, the call is much easier.


2. Have Your Information Ready

Depending on the call, you may need:

□ Your full name
□ Phone number
□ Address
□ Appointment information
□ Order or confirmation number
□ Account number
□ Bill or receipt
□ Pen and paper or notes app

Have these ready before you call.

Do not give passwords, PINs, or verification codes unless you are certain who you are speaking with and why the information is legitimately needed.


3. Start With a Simple Sentence

When someone answers, say:

“Hi, my name is [name]. I’m calling because I need help with [reason].”

For example:

“Hi, my name is Jordan. I’m calling because I need to reschedule an appointment.”

or:

“Hi, I’m calling because I have a question about a charge on my bill.”

That is enough to get the conversation started.


4. Explain What You Need

Keep your explanation short and specific.

Try:

“I need to…”

“I’m trying to…”

“The problem is…”

“Can you help me with…?”

You can provide more details if the person asks.


5. If You Don’t Understand Something, Ask

You can say:

“Could you explain that again?”

“Could you say that more slowly?”

“What does that mean?”

“Can you tell me what I need to do next?”

Do not pretend you understand just because you want to get off the phone.


6. Write Down Important Information

During the call, record:

□ Person’s name
□ Date and time
□ Appointment date or deadline
□ Confirmation number
□ Amount you need to pay
□ Anything you need to do next

For an important issue, keeping notes can save you from having to reconstruct the conversation later.


7. Before You Hang Up

Make sure you know:

WHAT happens next?

WHO is responsible for it?

WHEN should it happen?

You can say:

“Just to make sure I understand, I need to send the form by Friday, and then your office will contact me. Is that correct?”


8. If They Can’t Help You

Ask:

“Who should I speak with about this?”

or:

“Is there another department that handles this?”

If you are transferred, briefly explain the reason for your call again.


9. If You Reach Voicemail

Do not hang up just because you were expecting a person.

Leave:

  • Your name
  • Reason for calling
  • Phone number
  • Best time to reach you, if needed

Keep the message short.

You do not need to know exactly how the entire conversation will go before you make the call. Know why you’re calling, start with one clear sentence, and handle the conversation one question at a time.
