Need to send a letter, ship a package, or return something you ordered?

The basic process is the same: make sure you have the correct address, package the item properly, choose how you want to send it, and keep your receipt or tracking information.


1. Know What You’re Sending

Before you start, determine whether you are sending:

  • Letter or card
  • Documents
  • Small package
  • Large package
  • Online purchase being returned

If you are mailing something unusual, fragile, valuable, or potentially restricted, ask the shipping carrier about any special requirements before sending it.


2. Get the Correct Address

Double-check the recipient’s:

□ Full name
□ Street address
□ Apartment or suite number
□ City
□ State
□ ZIP code

For a business return, use the return address provided by the company.

Do not assume the address printed on the original package is where returns should be sent.


3. Package the Item

For letters or documents:

Use an appropriately sized envelope.

For packages:

  • Choose a sturdy box or mailer
  • Remove or cover old shipping labels
  • Protect breakable items
  • Use packing material so items do not move around
  • Seal the package securely

Do not seal a return until you are sure everything that needs to be included is inside.

Remove or completely cover any old shipping labels or barcodes that could cause confusion.


6. Choose How to Send It

Depending on the item, you may use a:

  • Post office
  • Shipping carrier

If you are unsure what service you need, ask:

“I need to send this to this address. What are my options?”

You can ask about:

  • Price
  • Delivery speed
  • Tracking
  • Insurance
  • Signature confirmation

7. Get Tracking When It Matters

Tracking is especially useful for:

  • Important documents

  • Time-sensitive packages

Save the tracking number until you know the item arrived and any return or refund is complete.


8. Keep Your Receipt

Do not immediately throw away your shipping receipt.

Keep it until:

  • Issue is completely resolved

Take a photo of the receipt or tracking number if you are worried about losing it.


9. Check That It Arrived

Use the tracking number when available.

For a return, remember:

Delivered does not always mean refunded.

The business may need additional time to:

  • Process the refund

Check the company’s return information for expected processing times.


10. If Something Goes Wrong

If the package:

  • Does not arrive
  • Stops moving in tracking
  • Is delivered to the wrong place
  • Arrives damaged

Sending something is not finished when you hand over the package. Keep your tracking information and receipt until you know it arrived and, for a return, your refund or exchange has been completed.
