⚡ What to Do When You Miss an Appointment
You look at the time and realize your appointment has already started, or maybe it is completely over.
Do not ignore it because you feel embarrassed.
Contact the office or person as soon as you can, explain that you missed the appointment, and find out what you need to do next.
1. Check the Appointment Information
Before calling, confirm:
□ Appointment time
□ Location
□ Name of the person or office
□ Phone number
□ Confirmation or appointment number, if applicable
Make sure you actually missed the appointment and did not have the wrong time or date.
2. Call as Soon as You Realize
If the appointment just started, call immediately.
You can say:
“Hi, I had an appointment at 2:00 today, and I’m sorry, but I missed it. Is there any chance I can still come in?”
Depending on how late you are, they may still be able to see you.
Do not start traveling there without checking if you are significantly late.
3. If the Appointment Is Already Over
Call and explain what happened.
Keep it simple.
“Hi, I missed my appointment today. I’m sorry. I’d like to reschedule.”
You do not need a long explanation.
4. Ask Whether There Is a Missed-Appointment Fee
Some businesses and offices charge for missed appointments or late cancellations.
Ask:
“Is there a missed-appointment fee?”
If there is, ask:
- How much it is
- When it will be charged
- Whether there is anything you need to do
Do not assume there is a fee, but do not ignore one if there is.
5. Reschedule the Appointment
If you still need the appointment, ask for another time.
Before agreeing, check your:
- Calendar
- Work or school schedule
- Transportation
- Other commitments
Then immediately add the new appointment to your calendar.
6. Write Down the New Information
Record:
□ New date
□ New time
□ Location
□ Anything you need to bring
□ How early you should arrive
If you receive a confirmation email or text, check that the information matches what you wrote down.
7. Set Reminders Right Away
Do not wait until later.
Consider setting:
One reminder the day before
This gives you time to prepare.
One reminder when you need to start getting ready
This helps prevent forgetting.
One “leave now” reminder
This helps you get out the door on time.
Use whatever combination actually works for you.
8. Figure Out Why You Missed It
Once the appointment is handled, ask:
“What caused me to miss it?”
Maybe you:
- Forgot
- Wrote down the wrong time
- Did not check your calendar
- Overslept
- Underestimated travel time
- Could not find the location
- Got delayed unexpectedly
Then make one useful change for next time.
