⚡ What to Do When Transportation Is Delayed or Canceled
If your bus, train, paratransit vehicle, rideshare, flight, or other transportation is delayed or canceled, do not rush into another decision.
Move somewhere safe, confirm what changed, notify anyone waiting for you, and compare your available options.
1. Move to a Safe Place
Wait somewhere that is:
- Well lit
- Open to the public
- Away from moving traffic
- Near other passengers
- Near employees or security
- Protected from dangerous weather
- Accessible for your needs
Do not stand near the edge of a train platform or step into the road to look for a bus.
If the waiting area feels unsafe, move to a nearby staffed business or information area.
2. Confirm What Changed
Use an official source:
- Transportation provider’s app
- Official website
- Text or email alerts
- Station displays
- Posted notices
- Customer-service number
- Transit employee or dispatcher
Check:
- Is the trip delayed or canceled?
- What is the estimated delay?
- Has the stop, platform, gate, or pickup location changed?
- Is replacement transportation available?
- Will your ticket work on another route?
- Will you miss a transfer?
- When is the next departure?
Continue checking for updates. Estimated times can change.
3. Save the Information
Write down or screenshot:
- Current location
- Current time
- Route, train, trip, or flight number
- Confirmation number
- Original departure time
- Updated information
- Destination
- Missed or upcoming transfers
- Customer-service number
Keep any cancellation notice. You may need it for rebooking, refunds, or reimbursement.
4. Decide How Urgent the Trip Is
Ask:
- Do I need to arrive by a specific time?
- Can I arrive late?
- Can the appointment be moved?
- Is another option affordable?
- Is it safe to continue?
- Could I complete the task another way?
- Do I need to return home?
You may decide to:
- Wait
- Take another route
- Use another type of transportation
- Reschedule or cancel the trip
Stopping the trip may be the safest choice if no reliable transportation is available.
5. Notify Anyone Waiting for You
Send a short update:
My bus is delayed, and I may arrive about 20 minutes late. I’ll send another update when I know more.
If the trip was canceled:
My train was canceled. I’m checking another route, but I may not arrive on time. Is it still okay for me to come?
If there is no estimated arrival time:
My transportation has not arrived, and I do not have an updated time yet. I’ll let you know as soon as I learn more.
Do not promise an arrival time until you have confirmed the new plan.
6. Check Your Backup Options
Look for:
- Next bus or train
- Different route
- Nearby stop or station
- Replacement shuttle
- Alternate transfer point
- Taxi or rideshare
- Ride from someone you trust
- Safe walking route
- Opportunity to reschedule
Before leaving your current location, confirm that the alternative is operating and that you can reach it safely.
7. If a Bus Is Delayed or Canceled
Check for:
- Detours
- Closed stops
- Temporary stop locations
- Shuttle buses
- Reduced service
- Routes ending early
- Fare or transfer changes
Confirm the exact location of any temporary stop.
Before boarding an alternate bus, ask:
Does this bus stop near Main Street and Central Avenue?
or:
Can I transfer to Route 12 from this bus?
8. If a Train or Subway Is Delayed
Check:
- Which direction is affected
- Whether trains are skipping stops
- Whether service ends early
- Whether another line accepts your ticket
- Whether replacement buses are operating
- Whether elevators remain available
Ask an employee:
What is the safest way to reach Oak Avenue while this line is closed?
Before leaving the station, check whether you will need to pay another fare.
9. If Paratransit Is Late
Wait until the complete pickup window has passed. Then call dispatch.
Provide:
- Name
- Trip number
- Scheduled pickup window
- Exact location
- Destination
- Accessibility needs
Ask:
- Has a vehicle been assigned?
- What is the estimated arrival time?
- Should I remain here?
- What happens if the vehicle does not arrive?
- Is an accessible replacement available?
Do not leave the pickup location without telling dispatch.
10. If a Taxi or Rideshare Driver Cancels
- Check whether you were charged.
- Request another driver through the official app or dispatcher.
- Confirm the new fare and arrival time.
- Remain in a safe waiting area.
- Verify the new vehicle and license plate.
- Keep payment inside the official app.
Do not accept an unrequested ride from someone claiming to be a replacement driver.
11. If a Flight Is Delayed or Canceled
Use the airline’s official app, website, service desk, or customer-service number.
Check:
- Whether you were automatically rebooked
- New flight number and departure time
- Gate
- Connecting flights
- Seat assignment
- Baggage information
- Whether you must accept the new itinerary
If the airline cancels your flight and you choose not to travel or accept rebooking, you are generally entitled to a refund. Refund rights may also apply after a significant itinerary change or delay.
Accepting a replacement flight may affect your refund rights. Review the current U.S. Department of Transportation refund guidance before deciding.
Ask the airline before paying for a hotel, meal, or replacement flight. Reimbursement policies vary.
12. Protect Your Phone Battery
- Turn on battery-saver mode.
- Lower the screen brightness.
- Close unused apps.
- Avoid streaming video.
- Screenshot tickets and directions.
- Use a portable charger.
- Write down important phone numbers.
Do not leave your phone unattended at a charging station.
13. Keep Tickets and Receipts
Save:
- Tickets
- Boarding passes
- Confirmation emails
- Cancellation notices
- Screenshots
- Replacement transportation receipts
- Hotel and meal receipts
- Notes from customer-service conversations
Ask about reimbursement before assuming an expense will be covered.
Be careful about canceling a reservation yourself. Allowing the provider to process the cancellation may protect refund or rebooking options.
14. Watch for Scams
Avoid anyone who:
- Requests gift cards, cryptocurrency, or a wire transfer
- Asks for your password or verification code
- Sends an unexpected message offering help
- Directs you to an unofficial customer-service number
- Offers an unmarked replacement ride
- Asks you to pay outside a rideshare app
- Pressures you to act immediately
Use official websites, apps, phone numbers, employees, and marked vehicles.
15. Know When to Stop the Trip
Consider rescheduling or returning home if:
- You would arrive after the appointment ends.
- No safe transportation is available.
- The delay has no reliable end time.
- The alternative is too expensive.
- Weather conditions are dangerous.
- Your medication or accessibility needs cannot be met.
- You feel unsafe or overwhelmed.
If you need urgent medical care, contact the medical provider for instructions. Call 911 for a medical emergency.
